Marketplace orders synced into Airtable for fulfillment

Orders from Walmart and eBay were coming in through separate seller portals, while data was months behind reconciling into the team’s Airtable database. The result was a lot of checking portals, copying information, manually creating fulfillment records, and missing out on potential sales volume because of manual entry.

The goal: get marketplace orders into the system the team already used, without changing how the warehouse worked.

The challenge

Selling across multiple marketplaces meant the team had to check Walmart and eBay separately for new orders, and compare shipping rates between the marketplace shipping rates vs ShipStation. If they got around to it, reconciling that data into Airtable to map inventory to orders and gauge the business performance.

Keeping up with increased order volume was becoming an all day affair, meaning getting new inventory onto the marketplaces, and other operational tasks were falling behind pushing manual data transfer further and further down the list.

What we built

We connected to the Walmart, eBay, and ShipStation APIs and automated the process of pulling new orders and writing them into the existing Airtable fulfillment system.

Instead of introducing a new fulfillment platform, we built triggers using Airtable’s built-in automations and mapped marketplace orders into the same fields and statuses the team was already using.

The outcome

Staff no longer have to regularly check multiple seller portals or retype order information. The fulfillment team can keep working from the system they already know, while new marketplace orders are brought into that workflow automatically.

The result was a simpler fulfillment process with less copy-paste work and increased volume as the additional operational capacity allowed the team to get more items inspected and onto the marketplaces.
